Setting up an email on your computer
Want to setup your email address on your computer? This article contains the necessary information to help you setup your email on various email applications such as Windows Live Mail and Outlook.
Before you begin
1. Required information
- TYPE OF ACCOUNT : IMAP or POP
- USERNAME : name@domain.com (your full email address)
- PASSWORD : provided by your administrator once the email address was created
- INCOMING MAIL SERVER : mail.spherika.com & PORT (varies on account type)
- OUTGOING MAIL SERVER : mail.spherika.com & PORT (varies on account type)
2. Setup on Microsoft Outlook

3. Setup on Windows Live Mail

Setting up an email on your mobile/tablet
To setup your computer to send and receive emails, you must have the required information listed below in order to complete the step by step guide on how to install your email on a PC.
Required information
- USERNAME : name@domain.com (your full email address)
- PASSWORD : provided by your administrator once the email address was created
- INCOMING MAIL SERVER : mail.spherika.com
- OUTGOING MAIL SERVER : mail.spherika.com

How do I setup up my auto-reply?
- Visit http://webmail.spherika.com
- Login with your email address and password
- On the top right click on your email address with the little arrow down icon
- Select the "Autoresponders" option
- Click on the "Add Autoresponder" button
- Keep Character Set at UTF-8
- Interval of 1 hour is usually sufficient
- In the FROM line enter %from%
- In the SUBJECT line enter %subject% so that the SUBJECT line contains the subject they have entered when sending you an email
EXAMPLE : Out of office - %subject% - In the BODY section enter the Auto responder message that you wish people to receive when sending you an email
- You can choose to start the autoresponder immediately or at a selected date and time
- You can choose to NEVER stop the autoresponder or set a specific date at which it should end
- Click CREATE/MODIFY button
- Your autoresponder has now been created and should be functionnal.

How do I setup an email forward?
- Visit http://webmail.spherika.com
- Login with your email address and password
- On the top right click on your email address with the little arrow down icon
- Select the "Forwarders" option
- Click on the "Add Forwarder" button
- Enter the email address you want your emails to be forwarded to
- Click the Add Forwarder button
- Your forwarder has now been created

How do I change my email password?
- Visit http://webmail.spherika.com
- Login with your email address and password
- On the top right click on your email address with the little arrow down icon
- Select the "Password & Security" option
- Enter your new password
- Confirm your new password
- Make sure your password must be of at least 75% Strength to comply to our standards
- Click on the Save button and you can now login with your new password

How do I create or modify an email account?
Please contact SPHERIKA by email at support@spherika.com and send them your request to create your new email address. Please specify what domain name it is for and if your account allows for more email creations then you will receive a response within 48 work hours with the credentials of your new email address.

How can I check my emails online (no configuration required) or if I don't have access to my computer?
- Visit http://webmail.spherika.com
- Login with your email address and password
- Once logged in, you will be given the choice of 3 applications to view your emails online: Horde, Roundcube or SquirrelMail
- You can select whichever you like (this is a preferential option, you may need to try out all 3 to decide which application best suits your needs)
- Once you've selected the application, give it a few moments to load
- You can now view or send and receive your emails online.

What is the difference between a POP and IMAP account?
POP and IMAP are two different protocols (methods) used to access emails.
POP stands for Post Office Protocol, and was designed as a simple way to access a remote email server. The most recent version is POP 3, and is supported by virtually all email clients and servers.
POP works by downloading your emails from your provider's mail server, and then marking them for deletion there. This means you can only ever read those email messages in that email client, on that computer. You will not be able to access any previously downloaded emails from any other device, or with any other email client, or through webmail.
IMAP stands for Internet Message Access Protocol, and was designed specifically to eliminate the limitations of POP.
IMAP allows you to access your emails from any client, and any device, and webmail login at any time, until you delete them. You are always seeing the same emails, no matter how you access your provider's server.
Since your email is stored on the provider's server and not locally, you may run into email storage limits, when using IMAP.
